Entertainers Application Form

Pasifika Vibes Festival 2023
Entertainers Application Form

If you or your group would like to perform at the festival, please fill out and submit the following application form.

Please note, the main stage will have a sound system consisting of microphones and speakers through which we can play any pre-recorded music that you provide. Unfortunately, we are not able to accommodate the setting up and packing down of large bands with band gear such as electric instruments, amps and speakers etc. This is due to the number of performers on the day, performing back to back on a single stage.

You are encouraged to attach a quality photograph of yourself or your group to this form so we can promote you on our channels!

Please share the festival info with as many people as possible on Facebook, Instagram, etc.! The only way we keep the festival successful is to keep sharing content. Also, make sure you turn ON notifications for this group so you don’t miss anything.

Pasifika Vibes Festival – Entertainers Terms and Conditions Agreement

This Entertainers Terms and Conditions Agreement (“Agreement”) sets forth the terms and conditions that apply to your or your group’s (“Entertainers”) participation as an Entertainer at Pasifika Vibes Festival (“Festival”), organised by Pasifika Families Inc. and Pasifika Vibes Festival Committee (“Organisers”).

1. Performance Start Time and Duration:
You will be notified of your performance start time and duration as determined by the Entertainment Coordinator. The Entertainment Coordinator’s decision is final and not negotiable. You will be required to perform for no longer than your allotted pre-approved and agreed duration. Failure to adhere to this timeframe, within 1 or 2 minutes over, may result in the sound equipment being turned off and the Master of Ceremonies making an announcement to allow the next performer to commence their performance on time.

2. Reporting Backstage to Green Room:
You must report backstage to the Green Room at least 30 minutes prior to your Performance Start Time.

3. Public Liability Insurance:
All Entertainers must hold Public Liability Insurance, with a minimum amount of cover of $20,000,000 as a condition of performing at this event, and must provide evidence of their Public Liability Insurance (Certificate of Currency) before the event day.

4. Waiver/Indemnity Form:
If you do not hold Public Liability Insurance and do not wish to purchase Public Liability Insurance, a “Waiver/Indemnity Form” will need to be signed by you prior to taking the stage to perform. Signing the Waiver/Indemnity Form gives the Organisers, as the event coordinator, minimum protection. It does not cover the Entertainer(s) and without Public Liability Insurance, leaves the Entertainer(s) unprotected. Please let us know if you will be signing a “Waiver/Indemnity Form” when you answer the Insurance Question in your application.

5. Liability Disclaimer:
Entertainers who perform at the Festival do so at their own risk and are required to indemnify and hold harmless the Organisers, their representatives, their staff and volunteers, and event sponsors against any claim for damages, costs, expenses, and liabilities (including, without limitations, consequential loss and loss of profits) in respect of any loss, damage, or injury caused through any of the activities, products, and belongings at the Festival.

6. Code of Conduct, Refusal and Dismissal:
Entertainers are expected to behave professionally, respectfully, and in accordance with the Festival’s code of conduct. Any behaviour deemed inappropriate or disruptive may result in removal from the event at the discretion of the Organisers. The Organisers reserve the right to refuse any applicant or Entertainer who does not wish to maintain the spirit of the event or wishes to make time changes without notice. The Organisers reserve the right to dismiss anyone from the premises if they are causing damage, interfering with any other Entertainer, or disrupting the order of the event.

7. Set-up and Pack-up of Equipment:
Entertainers are responsible for removing all equipment from the stage/venue before leaving the premises at the end of the performance. The Organisers and their representatives will not be held responsible for any items or equipment that an individual or group brings or leaves behind as part of their performance.

8. Photo, Video, and Social Media Footage:
By agreeing to perform at the Festival, you, the Entertainer, grant the Organisers, and its authorised representatives, the irrevocable and unrestricted right to capture, use, reproduce, and publicly display any photographs, videos, or other media recordings taken of you, your group, your performance, and any related activities during the Festival for promotional, advertising, and marketing purposes. You acknowledge and agree that all media materials captured at the Festival, including but not limited to photographs, videos, and audio recordings, shall remain the exclusive property of the Organisers. You hereby waive any claim to ownership, royalties, or compensation arising from or related to the use of these materials. By participating in the Festival, you release the Organisers, its representatives, employees, and agents from any liability or responsibility for the use of your image, likeness, or voice in any media materials, as well as any loss, damage, or infringement of personal or intellectual property rights that may occur in connection with the capture or use of such materials. You warrant that you have the authority to grant these rights and permissions, and you agree to indemnify and hold harmless the Organisers from any claims, damages, or expenses arising from the use of media materials in accordance with this Photography and Media Clause.

9. Intellectual Property Rights:
Entertainers retain all intellectual property rights in their original works and performances. However, by participating in the Festival, you grant the Organisers a non-exclusive, royalty-free, worldwide license to use, reproduce, and publicly display any photographs, videos, or other media.
