One of South East Queensland’s largest celebrations of Pasifika and Māori cultures is getting even bigger, with Pasifika Vibes Festival expanding to two days for the first time in 2026.

Applying for a stall at Pasifika Vibes Festival is simple. Follow the steps below to submit your application and secure your place at the Festival.

Have a question about exhibiting at Pasifika Vibes Festival? The answers below cover many of the most common questions we receive from stallholders.
What is included in my site fee?
Your site fee includes your allocated stall space for both Festival days, access to Festival attendees, inclusion within Festival operations planning, and support from the Festival team before and during the event. Additional hire items such as marquees, tables and chairs may be available separately during the application process.
Is power available at the Festival?
No. Power is not supplied by the Festival. Stallholders requiring power must provide their own compliant and appropriately sized generator, battery or alternative power source suitable for their operational needs.
Can I bring my own marquee?
Yes. Stallholders may bring their own marquee, tent, gazebo or stall structure, provided it fits entirely within the allocated site dimensions and is appropriately weighted or secured.
What insurance do I need?
All stallholders must hold current Public Liability Insurance with a minimum cover value of $20 million and provide a current Certificate of Currency as part of the application process.
Can I share a stall with another business or organisation?
Generally no. Applications are assessed and approved based on the individual applicant, products, services and operational requirements. If you wish to propose a shared arrangement, please contact the Festival organisers before submitting your application.
When will I know if my application has been approved?
Applications are reviewed by the Festival team after submission. Successful applicants will receive approval confirmation and payment instructions by email. Processing times may vary depending on application volume and assessment requirements.
What happens if I need to cancel?
If you need to withdraw your application or participation, please contact the Festival organisers as soon as possible. Refund requests are considered in accordance with Festival policies and the Stallholder Terms and Conditions.
Is submitting an application the same as booking a stall?
No. Submitting an application does not automatically secure a stall site. Applications are assessed to ensure an appropriate mix of stall categories, products, services and operational suitability across the Festival.
Do you limit competing stalls?
Yes. As part of our assessment process, we actively assess applications to encourage an appropriate balance of products, cuisines, services and cultural representation across the Festival. In doing so, we consider factors such as attendee experience, diversity of offerings and the overall Festival marketplace. However, we do not guarantee exclusivity or any particular number of stallholders within a product or service category, and the final mix of approved stallholders remains at the Organisers’ discretion.
Will you tell me how many other stalls have been approved in my product or service category?
No. As part of our Stallholder application and assessment process, we don’t confirm or disclose the number of approved Stallholders within individual product or service categories at any stage of the process.
We recognise that some Stallholders consider the level of competition within a particular category when deciding whether to participate. However, every application is considered with regard to product diversity, cultural representation, attendee experience, operational requirements and the overall composition of the Festival. The final mix of approved Stallholders remains at the Organisers’ discretion.
Can I choose my exact stall location?
No. Stall locations are allocated by the Festival organisers based on site planning, operational requirements, stall category balancing, safety considerations and overall attendee experience.
What happens after I make payment?
Once payment has been received and your participation is confirmed, you will receive further operational information, event instructions and your Stallholder Information Pack closer to the Festival.
Can I hire marquees, tables and chairs through the Festival?
Yes. A range of optional hire items may be available during the application process, including marquees, tables, chairs and other equipment. Availability may be limited and hire requests are subject to confirmation.
Do I need to display my food licence during the Festival?
Yes. Where required by law, food business licences, permits, approvals and any other relevant food compliance documentation must be available and displayed at your stall during Festival operating hours. Council and regulatory officers may conduct inspections during the Festival and may request to view licences, permits, food safety records and other compliance documentation at any time.
What is the difference between a Community Organisation stall and an NGO / Non-Profit stall?
Community Organisation stalls are generally intended for local community groups, cultural organisations, churches, clubs, associations, volunteer-led initiatives, and community-based organisations operating primarily at a local level.
NGO / Non-Profit stalls are generally intended for larger charities, not-for-profit organisations, service providers, and organisations delivering community, social, health, education, or support programs across broader communities or regions.
Some organisations may identify as both a community organisation and a not-for-profit organisation. If your organisation could reasonably fit either category, please select the option that best reflects the nature, scale, and primary activities of your organisation. The Festival team will review all applications and may adjust classifications where appropriate.
NGO / Non-Profit stalls are generally registered charities, not-for-profit organisations, incorporated associations or larger service providers operating on a not-for-profit basis.
If you are unsure which category applies to your organisation, please select the closest option and the Festival team will review your application during the assessment process.
Do I need a fire extinguisher or fire blanket?
Stalls using gas appliances, cooking equipment, heating equipment, deep fryers or other heat-producing devices are generally expected to maintain appropriate fire safety equipment, including a suitable fire extinguisher and fire blanket.
Additional fire safety requirements may apply depending on the nature of your setup.
